Call Center Representative/Scheduling Specialist

Primary Responsibilities

  • Handle a high volume of calls with varying degrees of questions or concerns. 
  • Demonstrate exemplary customer service and soft skills.
  • Maintain impeccable attendance.
  • Greet patients via telephone and schedule appointments while simultaneously updating their insurance/demographics in the patient medical record.
  • Ensure that patients are appropriately scheduled for the physician they are seeing and that they have a clear understanding of location.
  • Reviews all scheduled appointments for accuracy and make required corrections.
  • Screens calls, takes messages and directs to appropriate triage.
  • Prepares the daily schedule of physicians’ office, OR and on-call coverage.
  • Review daily appointment cancellations report and update schedules accordingly.
  • Record details of customer interactions, record details of inquiries, complaints, or comments, as well as actions taken. 
  • Opens and closes switchboard according to established procedure.
  • Check New Patient list reports for duplicates.
  • Communicate and coordinate with internal departments.
  • Follows all HIPAA regulations as instructed.
  • Performs any other functions as requested by supervisor.
  • Achieve productivity standards and goals set by the company while maintaining high level of customer service.

  • Punctual, reliable, hardworking, well organized, professional and detail orientated.
  • Great listening skills, good grammar and good reading comprehension.
  • Ability to problem solve and make decisions quickly under pressure in a clear, calm and diplomatic manner.
  • Computer literate - Proficient with Excel, Microsoft Word and Outlook (email). 
  • Knowledge of administrative procedures.
  • Scheduling experience preferred.
  • Healthcare industry knowledge helpful.
  • Able to work in a team environment.
