Medical Office Manager

Principal Duties & Responsibilities:

  • Responsible for the selection, on-boarding and orientation, performance evaluation and assessment, training and development, discipline and termination of all assigned staff
  • Directly supervises positions such as receptionists, secretaries, billers and coders, schedulers, record clerks etc. with respect to payroll, PTO, LOA, and other related matters
  • Ensures that all staff work in accordance with their assigned schedules and hours, job descriptions and duties
  • Is responsible for managing inventory for both office supplies and medical supplies and equipment
  • Ensures that all patient billing and insurance claims are processed accurately and in a timely manner within established systems
  • Ensures that staff are properly trained and knowledgeable in applicable regulations related to HIPAA, OSHA, etc.
  • Ensures that all health care providers in assigned office(s) are actively licensed and credentialed to meet all DPH or other regulatory obligations
  • Promptly and effectively investigates all patient complaints, informs other senior managers or leaders as required, and facilitates service recovery as needed
  • Promptly addresses and responds to all physician requests
  • Performs other duties as assigned by Manager

Required Experience, Education & Licensure:

  • Minimum 4 years of experience in a medical office management role, with direct managerial oversight of staff
  • A Bachelor's degree (or equivalent experience) with a major in Health Administration, Nursing, Business Administration, Finance or Accounting is preferred
  • Active knowledge of HIPAA, OSHA and applicable DPH regulations is essential, along with working experience and understanding of EMR’s and patient & insurance billing systems
